Studio settings
Find and change your studio's details, schedule setup, staff, policies, payments and messaging settings.
Getting started2 min read
Studio settings is where you set up how your studio runs: your contact details, rooms and terms, staff, registration rules, payments and messages. Open it with the gear icon at the right of the top bar (on a phone, it's in the menu).
Owners and admins can change settings. Front desk staff and teachers can open them to look things up, but can't make changes.
The tabs#
General#
- Studio information: your Studio name, Business type (set at sign-up and can't be changed), Default term name, logo, website, phone and a short description.
- Contact Information: the email and phone numbers families use to reach you, and your studio hours.
- Brand: the color used on your public registration page.
- Region & public URL: your public web address, Timezone and Currency.
- Business Details: your legal business name, tax ID and address. Select Edit to change them.
- Sections: turn Private lessons, Levels and testing, Competitions and Parties on or off. Each starts from your business type. Turning one off hides it from the menu for everyone; nothing in it is deleted. Only owners and admins can change these.
Schedule setup#
- Rooms: the places your classes meet. Each room's capacity is used as the starting class size for new classes.
- Terms: your seasons or sessions and their dates.
Programs, like camps and workshops, are set up in Classes, under Programs. See Set up terms and programs.
Staff#
The people who can sign in, any pending invites, and the list of teachers you can assign to classes. See Invite your team.
Registration#
Online registration, Waitlist offers and Custom fields.
Waivers and policies families accept when they register are in Students, under Forms & waivers. Your level ladder is in Classes, under Levels & testing.
Attendance#
Absences and make-ups, Check-in and pickup, and the rules for Private lessons (when private lessons are turned on under Sections).
Payments#
Card and bank payments, what happens with Failed payments, an optional Credit card surcharge, and Accounting, where you connect QuickBooks Online for your bookkeeping. Only the owner can connect payments.
Communication#
Senders (how texts and emails reach families), Messages to families, and Reminders.
Import & export#
Bring data in from your old system with the import wizard and the switch checklist, and (owners only) download a copy of everything in your studio. See Switch from another system.
Save your changes#
When you change something on the General tab, a save bar appears. Select Save changes to keep your edits, or Discard to undo them.
Good to know: Changing your time zone keeps every class at the same clock time in the new zone, and billing dates and reminders follow the new zone from then on. Past payments aren't changed.
