Consent and opt-outs

Who can receive your texts and emails, how to record a parent's consent, and how families opt out.

FrontRow only sends texts and emails to people who can legally receive them. This keeps your studio on the right side of texting and email rules, and it's why some parents show as crossed out or get skipped in an announcement. This article explains the rules and what you can do about them.

The rules in short#

MessageWho can receive it
Texts (any kind)Parents with a mobile number who agreed to get texts and haven't opted out
Everyday emails (replies, receipts, schedule changes)Parents with an email address who haven't opted out
Marketing emails (news, offers, announcements)Parents who agreed to marketing email and haven't unsubscribed
Portal messagesEvery family, as long as a parent has a portal login to read them

When you add a parent and type a phone number, you'll see They agreed to get text messages from the studio. Tick it only if the parent actually said yes.

If you change a parent's phone number later, the old consent doesn't carry over. Tick They agreed to get text messages at the new number to record a yes for the new one. The same goes for email: changing an email address shows They agreed to get marketing email at the new address.

To get there, open Students in the menu, choose the family, and edit the parent under Guardians. See Edit family details.

How families opt out#

  • Texts: a parent can reply STOP to any text. Marketing texts end with "Reply STOP to opt out." so they know how.
  • Email: marketing emails have an unsubscribe link at the bottom. It opens a short page where the parent selects Unsubscribe. They'll still get emails about their account, such as receipts, schedule changes and replies from the studio. Unsubscribing only affects your studio, not other studios they belong to.

Once a parent opts out, FrontRow won't send them that kind of message. The unsubscribe page tells parents to contact you if they change their mind.

Why someone can't get a message#

In the inbox, hover or tap a crossed-out name to see the reason:

  • No mobile number on file or No email address on file: add one to their details.
  • Hasn't opted in to text messages: ask the parent, then record their yes.
  • Opted out of text messages or Opted out of email: they chose to stop. Use another channel, like a portal message.

In an announcement, the Recipients box shows how many people are skipped because there's no consent or no contact address.

Tip: portal messages don't need text or email consent, so they're a good way to reach a family that has opted out of texts.
