Invite families to the portal

Email a parent a link to set up their family portal login, and check who already has one.

Parent portal2 min read

This article is for studio staff. When you add a family yourself (over the phone, at the front desk, or by importing from another system), the parents don't have a portal login yet. Send each parent an invite so they can see their schedule, pay online and read your messages.

Owners, admins and front desk staff can send invites.

Families who register online#

You don't need to invite these families. When a parent registers for classes on your website, they create their login as part of signing up and can use the portal right away.

Send an invite#

  1. Open Students in the menu and choose the family.
  2. Find the parent under Guardians.
  3. Select Invite to portal next to their name.

You'll see "Emailed (name) a link to set up their portal login." The button only shows for parents who have an email address and no portal login yet. If it's missing, add an email address to the parent first. See Edit family details.

Invite each parent separately. Two parents in the same family can each have their own login.

What the parent does#

  1. They open the email and select the link.
  2. On the Join studio page, they enter Your name and choose a Password (at least 10 characters).
  3. They select Accept invite and land in the family portal.

If the parent already has a FrontRow account (for example, from another studio), they select Sign in to accept with that account instead. Their new studio then shows up in their account menu alongside the others.

Check who has a login#

On the family's page:

  • The Guardians count at the top says Portal access enabled once at least one parent has a login, or No portal login yet.
  • Each parent with a login shows Has parent portal login under their contact details.

What if#

  • The parent didn't get the email. Ask them to check spam, confirm the email address on file is right, then select Invite to portal again.
  • The email address was wrong. Fix it on the parent's details, then send a new invite.
  • You see an error saying the parent already has a login. They may have signed up under a different email address. See Help a parent sign in.
