Connect QuickBooks

Send a daily summary of charges, payments and sales to QuickBooks Online for your bookkeeper.

Billing and payments2 min read

If you use QuickBooks Online, FrontRow can post your money to it automatically. Each day becomes one summary entry (called a journal entry in QuickBooks) with totals by category, so your bookkeeper gets clean daily numbers without retyping anything.

Only owners and admins can connect QuickBooks and change its settings.

What gets sent#

Each day's totals for:

  • Charges (tuition and fees)
  • Payments
  • Store sales
  • Credit card surcharges
  • Sales tax

FrontRow sends daily totals by category, not one line per family. If something changes after a day is posted, like a refund, FrontRow posts a correction as a new entry. It never edits an entry already in QuickBooks.

Connect QuickBooks#

  1. Open Studio settings with the gear icon in the top bar.
  2. Choose the Payments tab and scroll to Accounting at the end.
  3. Select Connect QuickBooks.
  4. Sign in to QuickBooks and approve access to your company. You come back to FrontRow when it's done.

Map your accounts#

Once connected, tell FrontRow where each category goes in your chart of accounts. Your bookkeeper can help with this.

  1. Under Map categories to accounts, choose a QuickBooks account for each category.
  2. Set Start syncing from to the first day FrontRow should send. Earlier days stay in your old books, which is handy if you're switching systems partway through the year.
  3. If your bookkeeper asks, fill in Customer for receivable lines. QuickBooks needs a customer on money owed to you; the alternative is mapping that category to a clearing account.
  4. Select Save mapping.

When it sends#

FrontRow sends updates every morning, covering the past week. To send now, select Sync now. You'll see how many entries were posted, or that everything was already posted.

The list underneath shows recent entries with their date, whether each is a Daily summary or a correction, the amount, and its status: Posted, Pending or Failed. Failed entries are tried again automatically.

If QuickBooks disconnects#

If QuickBooks stops accepting the connection, the status shows Reconnect. Select Connect QuickBooks again to pick up where you left off.

To stop sending to QuickBooks, select Disconnect. Entries already posted stay in QuickBooks.
