Billing and payments2 min read
The Recurring payments page shows every tuition charge and fee that's scheduled but not due yet. Use it to plan your cash flow and to spot families who'll need to pay by hand.
Open recurring payments#
- Open Billing in the menu.
- Choose Recurring payments.
- Use the date button at the top right to pick a range: Next 30 days, Next 60 days, Rest of this month or Next month.
Owners, admins and front desk staff can see this page.
What you'll see#
Four cards sum up the range:
- Total scheduled: everything coming due, and how many charges that is.
- Autopay: the part that will be collected automatically.
- Due this week: how many charges fall in the next 7 days.
- Manual payment: the part from families who aren't on autopay.
Below that, Scheduled charges lists each charge with the family, description, due date, amount and an Autopay or Manual badge. Filter by All charges, Autopay only or Manual only, or search by family or description. The By week chart shows how the total spreads across the weeks.
From a row's menu, choose Open ledger or Family profile.
Families who pay manually#
Autopay runs on the due date. Families on Manual need to pay themselves, either in the parent portal or at the desk. It's worth reminding them before the due date. See Record a payment.
Cancel a scheduled charge#
If a scheduled charge shouldn't happen (say a student left before it was due), cancel it from the family's account:
- Open Billing, choose Family balances, and select the family.
- In the Upcoming charges card, select Cancel next to the charge.
- Add a reason if you like, then select Cancel charge.
The charge won't be posted or collected. This can't be undone; to bill it later, add a charge by hand. Only owners and admins can cancel scheduled charges.
Good to know: Once a charge is due, it's on the account history and can't be cancelled. Issue a credit to take it back instead. See Credits and write-offs.
