When your costumes are set up and students are measured, FrontRow builds your purchase orders for you: one per vendor, with every student sized from their measurements. You check the sizes, send the order to the vendor, and charge each family the costume fee.
Only owners and admins can create and manage purchase orders and charge fees.
Generate a purchase order#
- Open Costumes in the menu, then the Purchase orders tab.
- Choose the Vendor. Only vendors with at least one costume are listed.
- Select Generate order from measurements.
FrontRow adds every student in the classes for that vendor's costumes, with their suggested size, and opens the order.
If some students can't be sized yet (for example, they have no measurements), FrontRow lists them with the reason. Select Enter measurements, add them, then generate again. Generating again adds anyone new to the vendor's draft order, so you won't get duplicates.
Check the sizes#
The order page has two parts:
- Order summary: what to order from the vendor, by item, color and size, with quantities and totals.
- By student: each student, their costume, size and why that size was picked.
Look out for Between sizes and Above chart. The badges at the top tell you how many to check. To change a size, select Change next to it, type the new size and select Save. The original suggestion stays on record.
Send it to the vendor#
- Select Export CSV for a spreadsheet file (CSV) of the order summary to send to your vendor. Export by student gives you a version with every student listed.
- Once you've placed the order, select Mark submitted to vendor. Sizes are locked from then on.
- When the costumes arrive, select Mark received.
Made a mistake? Select Cancel order while it's a draft or submitted. Its lines are removed so the costumes can be ordered again.
Charge costume fees#
- On the order, select Charge costume fees.
- Check the preview: how many families, the total, and anyone already charged (they're skipped).
- Pick a due date if you like, or leave it blank to make the fees due now.
- Select Post and the amount.
Each student on the order is charged the costume's fee once, on their family's account. You can charge fees before the costumes arrive. Select See balances to check families' accounts afterwards.
Good to know: Parents can see each costume's progress in the portal: being ordered, ordered, and at the studio.
