Fill classes with a tracked announcement

Find classes with open spots and send a drafted email or text, with a tracked link and promo code, to the families most likely to join.

A tracked announcement is a marketing email, text, or both that brings families back to your studio. It's an ordinary announcement with Track sign-ups turned on: FrontRow can draft the words for you, adds a tracked link so you can see who signed up because of it, and can create a promo code just for it.

Only owners and admins can see Growth and send tracked announcements.

Find classes with open spots#

  1. Open Growth in the menu. On a computer it's under More in the top bar.
  2. Choose Fill classes. You'll see each class that has room, how full it is, and how many people are on its waitlist.
  3. Use the filters at the top to pick a term (or Every upcoming term) and how full a class can be to show up, from Under 50% full to Any open spot.

Each class also suggests who to tell, for example families who took classes before, with how many people are in each group.

If you see Your classes are filling well, nothing is under the threshold you picked. Try a higher one.

Start a tracked announcement#

  1. Choose Fill this class next to a class, or New tracked announcement at the top of the page. You can also open Inbox, choose Announcements, select New announcement and tick Track sign-ups.
  2. Under Track sign-ups, choose the classes to promote. Fill this class picks its class for you.
  3. To offer a discount, tick Include a promo code and choose Percent off or Amount off.
  4. Under Send to, pick who gets it. Besides the usual audiences, a tracked announcement can go to:
    • Families who took classes before
    • Leads and trial families
    • Families on the waitlist (for the classes you promote)
  5. Under Channels, tick SMS, Email, or both.
  6. Choose Draft the message for me. FrontRow writes a text, an email, and a social post with the tracked link and your new promo code. The classes and promo code are fixed from here on.

Edit and send#

Edit any of the drafted words, or write your own. With both email and text ticked, the email and the text each get their own box; leave Text message empty to text the email instead. You can also use Draft with Scout to have Scout, FrontRow's assistant, rewrite a message.

Use the merge field buttons for details that fill in for each person, like Parent first name, and Tracked link for the link that counts clicks. The Social post is never sent: copy it and paste it into your own social accounts.

When it's ready, select Review and send, then Send now.

Good to know: Tracked announcements are marketing, so they only go to people who agreed to receive them, and quiet hours apply to texts. They send right away (they can't be scheduled), can't go to specific students, and can't be undone or edited once sent. A draft you didn't send shows in the Announcements list; select Finish draft to edit and send it.

See what worked#

Open Inbox, then Announcements, to see everything you've sent. Tracked ones are marked in the Tracking column. Select View results to see:

  • Sent: messages delivered.
  • Clicks: clicks on the tracked links.
  • Registrations: sign-ups that used the announcement's link or promo code, with the tuition they brought in.

The By channel table splits these out for email, text, and the social post, so you can see which worked best. You may also see a "Probably also helped" estimate for sign-ups that likely came from it but didn't use its link.
