Withdraw or move a student

Take a student out of a class, see what it does to their bill, or move them to another class.

Classes and enrollment2 min read

When a student stops coming to a class, withdraw them so their future charges stop and their spot opens up for someone else. To move a student to a different class, transfer them.

Withdraw a student#

  1. Open Classes in the menu and open the class.
  2. Choose the Roster tab.
  3. In the Roster card, open the menu at the end of the student's row and choose Withdraw.
  4. Set the Last day, the final day they're part of the class. It starts as today.
  5. Add a Reason (optional), like "Moving away" or "Schedule conflict".
  6. Check the summary below. It shows any credits or charge changes this will make on the family's account.
  7. Select Withdraw.

Future charges for that class stop. If your studio offers open seats to the waitlist automatically, the spot is offered to the next student in line.

Can I choose a past date?#

Only owners and admins can set a last day in the past. A past date can credit the family for classes that have already been taught, so front desk staff can only choose today or later.

Move a student to another class#

  1. Open the class they're in now and choose the Roster tab.
  2. Open the menu at the end of the student's row and choose Transfer to another class.
  3. Under New class, choose the class they're moving to. Full classes are marked (full).
  4. Set the First day in the new class.
  5. Check the summary. It shows the new class's tuition, what they've already paid for unused time, and the one charge or credit this adds to the family's account.
  6. Select Transfer.

The student moves in one step, and the family is only charged the difference.

Can I undo a withdrawal?#

Not directly. If you withdrew someone by mistake, enroll them in the class again from their family's page. If the class filled up in the meantime, they'll go on the waitlist.

Taking a family out altogether#

If the whole family is leaving the studio, withdraw each student from their classes, then mark the family inactive. See Edit family details.

Who can do this#

Owners, admins and front desk staff can withdraw and move students.
