Add a studio closure

Close the studio for a holiday or snow day, cancel the classes, and credit families.

Calendar and attendance2 min read

A closure takes the studio off the schedule for one or more days. Use it for holidays, school breaks, bad weather or recital week. FrontRow cancels every class in those dates and lets families know.

Add a closure#

  1. Open Calendar in the menu, then choose Closures.
  2. Enter the Start date and End date. For a single day, use the same date for both.
  3. Enter a Reason, like "Thanksgiving break" or "Snow day".
  4. Choose whether to Credit families for the classes it cancels (see below).
  5. Choose Add closure.

If any classes fall in those dates, FrontRow shows you how many sessions and students are affected before anything changes. To go ahead, choose the confirm button (for example Cancel 6 sessions). To back out, close the box and nothing changes.

Once it's saved, you'll see how many sessions were cancelled, and the closure appears in the list at the top of the page.

What happens when you add a closure#

  • Every class session in those dates is cancelled and comes off the calendar.
  • Families are told their classes are cancelled.
  • In the parent portal, those sessions show as Cancelled.
  • Teachers see the sessions as Cancelled in My classes.

Credits for missed classes#

When Credit families for the classes it cancels is checked, FrontRow follows your closure policy. You set that policy once in Studio settings, on the Payments tab, under "When the studio closes for a day". For each type of plan (monthly, per term, per session) you choose No credit or Credit the missed session.

Uncheck the box if you don't want this closure to give any credits, for example for a break that's already built into your tuition.

Remove a closure#

Made a mistake, or the snow day didn't happen after all?

  1. Find the closure in the list on the Closures page.
  2. Choose Remove, then Remove closure to confirm.

The cancelled classes go back on the schedule, and any credits families got for them are taken back.

Who can add closures#

Only owners and admins can add or remove closures. Other staff can see the list.

Tip: Add your holidays for the whole season at the start of the term, so families can see them in the portal well ahead of time.
